Job Summary
The Ruth Lilly Medical Library seeks a talented individual whose primary role is to provide administrative support to facilitate day-to-day administrative activities.
Department-Specific Responsibilities
- Performs and assists with library operations-related tasks for Ruth Lilly Medical Library and work closely with administrative team.
- Performs tasks such as ordering supplies, purchase orders, scheduling meetings, meeting minutes, as well as gathering library statistics and processing expense reimbursements.
- Staffs the library information desk.
- Charges and discharges books and place holds on materials for patrons.
- Renews materials for patrons.
- Creates, modifies, and updates user accounts as needed.
- Charges replacement fees to patrons for non-returned loan items after final overdue notices.
- Provides directions and basic reference assistance to clientele.
- Monitors chat reference software and answer patron inquiries.
- Records interactions with clientele in statistical tracking software.
- Maintains and provides assistance with the public copier/printers.
- Searches the online library catalog and citation databases to locate requested items in library collection.
- Assists patrons with electronic resources access and instruct and assist with our printer/copier/scanners.
- May provide a few articles as a courtesy, but refer large requests to interlibrary loan/document delivery.
- Retrieves books for loan, package and ship via courier.
- Supervises, trains, and mentors student employees.
- Works with student workers to reinforce adherence to university and departmental policies and to develop and improve customer service and research skill sets.
- Projects a helpful, supportive example to others to show we are a positive, responsive, service-oriented workplace.
- Reviews and stays current with university policies, technology and access services trends.
- Manages daily required tasks and look for areas of improvement that may require attention
- Maintains the physical space and collections of the library.
- Shelves library materials and maintain organization of stacks.
- Monitors physical space for problems and report maintenance issues to appropriate staff.
General Responsibilities
- Handles and monitors library materials, including re-shelving, processing new material, restocking, and ensuring that all materials can be located quickly and easily.
- Evaluates condition of library materials and may perform repair and preservation of library materials, as needed.
- Assists faculty, students, and other patrons by answering phones and handling library-related issues, resolving non-routine problems related to library activities.
- Monitors library systems. Creates and updates basic records, maintains automated records, reviewing for completeness and accuracy.
- Collects and collates data, compiles statistics, uses compiled information to prepare unit reports
- May assist with cataloging new items, performing audits of outstanding items, and/or inter-library loan materials processing.
- May oversee library department desk and provide training and direction for students employees working the front desk.
