Good morning!
Earlier this week, new Toshiba Multi-Function Devices (MFDs) were installed all over campus.
You should see a new print queue named “Universal_IU_Print” when you start to print a document. This is the queue that you need to choose to print on the new Toshiba devices. Remember that this queue defaults to black, and duplex. If you wish to make changes for a particular document, you may do so before submitting the job.
The new Toshiba MFDs use a card tap instead of a swipe. We are adding some labels to the printers to help you find the CrimsonCard tap readers – they are located on the front of the machine as shown in the photo below.

Simply tap, wait a few seconds and you’ll be logged in. You can choose to print all of your documents in the queue or review them and only select a partial list. If you are scanning to email, the document will automatically be sent to the email associated with your CrimsonCard – no need to look through an address book.
The new Toshiba MFDs work very much like the old Ricoh devices, but there are a few differences. Please look over the short guide we have copied below to help with the most common machine functions.

Here’s what’s new and different about using the Toshiba MFDs
The new machines operate very much like our old Ricoh devices, but there are a few differences to note.
Sending electronic documents to print:
- Simply print to the one Universal_IU_Print queue.
- As before, the default is set to print b/w, and you must select color from the menu if you need it.
- Also, default is set to duplex (2-sided), and you must select single-sided from the menu if you wish.
- Collating and stapling work the same as the Ricohs, you select them.
Scanning to print or email:
- Copying works just as before, and can be found under the “More Device Functions” button on the touch screen.
- Scanning to email is slightly different. Your scan will be sent to your email, and then you’ll forward it to your intended recipient. Your email will auto-populate on the device when you tap your CrimsonCard!
Releasing your pages:
- Tap your CrimsonCard where indicated on the front of the printer to release your job at any Toshiba machine. (A few pre-existing machines will use the magnetic swipe reader as before until we can retrofit them with the tap readers later this semester.)
- Wherever possible, Toshiba devices have been placed in open spaces on every floor of every building.
Supplies:
- UITS will provide toner and replace staples; all these Toshiba MFDs use the same cartridge.
When there’s a problem:
- The UITS Help Desk will provide first level support, assisting with common problems.
- The Toshiba dealer will be called if UITS can’t do a quick fix.
Training:
- The machines are easy to use, but we will be happy to meet with you if needed.
