Universal IU Print is coming this month.
Our campus print environment is changing with it.
Indiana University is launching Universal IU Print across the state. It will simplify our printing environment, reduce costs, and increase efficiency. It’s designed to benefit everyone—students, faculty, and staff alike. We already use IU Print, but now there are major upgrades:
Print at any IU campus on any machine
A key change is one universal print queue. This means students, faculty, and staff can all use the same print queue. Similar to Eduroam with network access, Universal IU Print will allow you to travel to any IU campus and print on any machine!
Say goodbye to old Ricohs and hello to new Toshiba Multifunction Devices (MFDs).
Toshiba multifunction copiers are on the way to replace the aging Ricoh fleet, with standard features like b/w and color printing, duplex printing, collating, stapling, scanning, and of course copying. Each copier is rated for a million+ pages per year—as much as our entire campus prints in a year. To put this in perspective, the entire campus printed a total of approximately 1.6 million pages in all of 2024.
New Toshiba MFDs will have tap readers for the CrimsonCard
The new devices will be outfitted with a proximity or tap reader for your CrimsonCard, so you will no longer need to swipe your CrimsonCard through the magnetic card reader, which should help to reduce wear and tear on your CrimsonCard. Clear signage will be provided as to where to place your card for the quickest tap.
Toshiba MFDs are scheduled for delivery March 24-25! Installers will start in the Administration Building, Education and Arts, and Northside Hall on Monday.
Shared machines, located in every building
Students, faculty, and staff can print/copy/scan at any Toshiba on campus. There will be at least one Toshiba in every building, including the IU South Bend Elkhart Center and the Civil Rights Heritage Center.
(With only a few exceptions, where there is a Ricoh today, we will install a Toshiba device next week.)
Cost savings and streamlined onsite support
Besides purchasing the new Toshibas, UITS will also cover all click charges. UITS Support Staff will provide first level support, including toner and staple replacement. The Toshiba dealer may be called if UITS can’t do a quick fix.
A single print queue with all the features
The “Universal_IU_Print” queue that is coming will allow you to print to any of the fleet of Toshiba devices on campus. It will default to black and white printing, and also to DUPLEX printing, but you will easily be able to change these settings, and others, if they are not appropriate for your print job.
Employees will now see their print allotment on the release screen…
…But you can ignore the value—it’s not an actual limit. The system automatically replenishes your allotment once it falls below a set threshold. We understand this may be confusing. IU administrators are working with the vendor to hide this information, but since it requires a software update, we don’t yet know when it will be resolved.
Print quotas for students will remain unchanged in order to manage costs and reduce waste.
So… this is a major change happening at every campus. And our turn comes on March 24th and 25th.
