The University Data Management Council (UDMC) requires that owners of unregistered (Microsoft) Teams register their Teams in the Secure Storage portal by November 15, 2023. After this date, Teams that are not registered will be archived (read-only), and then after another 90 days, those archived Teams will be deleted.
Direct communications have been sent to owners of unregistered Teams on October 5, with instructions to register their eligible Teams at Register Team: IU Institutional Storage, or they can choose to archive their Teams.
The registration page has been slow to load today, with the uptick in traffic.
Note that the majority of impacted owners own 2-3 Teams. There are often multiple owners of a Team, and if one owner proceeds to register or archive a given Team, then when a co-owner logs in to do the same process, the Team will have disappeared from the eligible unregistered Teams list. Once a Team is archived, it disappears from the main pane in Teams and is accessible as read-only from the settings wheel > Manage Teams.
Since the introduction of the New Team button, it is easier for future Teams to be created via the Institutional storage request form. The KB article Get started with Microsoft Teams at IU provides instructions. Canvas’ Teams Classes will still be allowed and do not need to be registered as part of this process.

All Microsoft Teams at IU must be registered for data security

You are receiving this email because you are the owner or co-owner of one or more Microsoft Teams that are currently unregistered. Previously, it was possible to create a Microsoft Team without using the institutional storage request form.
The University Data Management Council (UDMC) now requires owners of unregistered Teams to register their Teams in the Secure Storage portal by November 15, 2023. After this date, Teams that are not registered will be archived (read-only), and then after another 90 days, those archived Teams will be deleted. You can also choose to archive or delete your Teams now if they are no longer needed. Once a Team is archived, it no longer appears in the main pane in Teams.
Instructions for registering your eligible Teams can be found at: Register Team: IU Institutional Storage. The list of the Teams that you own or co-own will appear when you click “View Eligible Teams.” Please coordinate with any co-owners. There are often multiple owners of a Team, and if one owner proceeds to register or archive a given Team, then when a co-owner logs in to do the same process, the Team will have disappeared from the eligible unregistered Teams list.
It is now easier to create a new Team via the institutional storage request form just by clicking the “New Team” button in Teams’ side navigation.
