As part of the changes to mail forwarding due to the migration from Cisco IronPorts to Microsoft Exchange Online Protection, Exchange mailboxes will be created for all accounts that do not currently have them. This will be done in several batches, starting on Thursday, June 15 with group accounts that do not have forwards set in MAS (i.e. current emails to these accounts are undeliverable).
The other batches will be addressed in late June and July and we will send further communications closer to that time.
When the IMS team creates the Exchange mailboxes, emails sent to <username>@iu.edu will subsequently be directed to the new Exchange Online mailbox.
Action may be needed
- Emails sent to the batch 1 group accounts are currently undeliverable (as they do not have a mail forward or an exchange account already), so when the Exchange mailboxes are created for these accounts, the accounts owners will be able to receive emails and find out if people are trying to reach them. Account owners should set up auto-replies or mail forwards using the KB instructions if they do not want to monitor the mailbox.
- If the group account owners are no longer active at IU, you or the person who wishes to claim ownership must transfer ownership of the group account.
Owners of the group accounts in this batch will receive a direct communication today (refer to the text below). If the owners own more than one account they will receive a single message, but should still check all their group accounts for the impact.

You are receiving this email because you are the owner of one or more group accounts without a mailbox in Exchange Online at IU, and without an email forward configured for the account in Manage Your Email. As part of an ongoing project to improve the security and mail handling processes at IU, administrators will be creating Exchange Online mailboxes for these accounts on Thursday, June 15. After June 15, email sent to the account username + @iu.edu will be delivered to the mailbox. There will otherwise be no impact on the way these accounts function.
If you want to ensure these emails are responded to or read, but do not wish to monitor the mailbox, we recommend one of the following actions:
- Create an auto-reply rule to notify senders that the mailbox is not monitored.
- Create a forwarding rule to redirect the message to a mailbox that is monitored.
