As a follow-up to the Google Shared Drive Purchasing Infoshare (access the presentation and slides), we wanted to share common questions from the event, as well as some general updates.
Purchasing process
The purchasing process is outlined in the knowledge base with additional details available about the entire Paid Shared Drive process.
A small change that was recently announced, the knowledge base previously stated that purchases would be prorated for the fiscal year with a July 1 renewal date. The initial purchase will now be for a full year and will last until February 1, 2024. Any purchase after February 28, 2023, will be prorated to end by February 1, 2024. The migration timeline has also been updated with the new purchase deadlines.
List of accounts wanting a Shared Drive
We have created an impact list to show all in your area who indicated wanting to Purchase a Shared Drive. The first sheet shows all Shared Drives that requested to stay and pay. The second sheet shows Shared Drives created since the migration start who indicated wanting to purchase a Shared Drive.
These lists only show those who indicated a desire to purchase, and do not indicate that the requester has started and/or completed the purchase process.
Tidying “orphaned” documents
A general update for any My Drive account that is still over quota. There is a new tool that allows clients to search for orphaned documents that may count against their quota. This and other strategies to help with quotas are available in the knowledge base. Clients can type “is:unorganized owner:me” into the search bar when logged into My Drive, and this will display documents counting against quota that are “orphaned” or originally owned by someone else who is no longer at IU.
