Updates to Google Shared Drive Creation

On Thursday, May 12, UITS restored the creation of new Google Shared Drives under limited circumstances. Based on feedback about Google My Drive users storing institutional data in personal accounts, the Google Storage task force decided to provide a simple option for moving large amounts of data from personal accounts to appropriate institutional storage locations.  

The creation of new Google Shared Drives is restricted to the following options:  

  • To simplify the process of migrating institutional data to Microsoft Teams 
  • For users who want to pay for storage in Google 

To create a Google Shared Drive to move data from Google My Drive to Microsoft Teams, do the following: 

  1. Choose “I will delete data myself” in the My Drive Migration Survey   
  2. Use the institutional storage request form  to create a new Google Shared Drive and select “Google Shared Drive (GSD) – Migration GSD” 
  3. Manually move your data from Google My Drive to Google Shared Drive 
  4. If applicable, create a Microsoft Teams storage space using the institutional storage request form 
  5. When your migration is scheduled, you will receive a notification from the Google Storage task force 

To purchase space in Google Shared Drive using a new Google Shared Drive, do the following: 

  1. Choose “I would like to pay for storage is a Google at IU Shared Drive” in the My Drive Migration Survey  
  2. Use the institutional storage request form to create a new Google Shared Drive and select “Google Shared Drive (GSD) – Paid GSD” 
  3. Manually move your data from Google My Drive to Google Shared Drive 
  4. You will receive a notification with information about paying for Google Shared Drive 

Survey responses can be updated multiple times. Users can revise their responses and re-submit the form—only the most recent selection will be used.  

To move files from Google My Drive into a Google Shared Drive, follow the steps in this KB document.
