Hello IT Professionals,
The UITS Storage and Virtualization (SAV) team would like you to be aware of the upcoming annual fiscal review process for Intelligent Infrastructure (II) services and action items that may require your attention before February 3, 2020.
What is happening?
The annual fiscal review process for Intelligent Infrastructure (II) resources will take place in February of 2020. This annual review process was established based upon feedback the SAV team received from units during the rollout of II self-service in calendar year 2018.
Background
In 2018, the II allocation model was changed to support self-provisioning which introduced the concept of a resource pool. The resource pool model included fiscal approval based upon resource pools rather than individual VMs. By receiving advanced fiscal approval for a resource pool, teams are enabled to manage additions, deletions and other changes to the VMs on their own as long as they do not exceed the approved resource limits.
Action Items Required of IT Pros:
- Validate your II resource pools, including assigned VMs and allocations
- Validate your contact e-mail in the resource allocation center (RAC) [1]
- Proactively notify your fiscal officer of the upcoming review and share the Renewal section of KB document Self-service provisioning in Intelligent Infrastructure (II) [2]
When will your fiscal officer receive notification?
Target date is February 3, 2020.
What will occur?
For each active resource pool, the review process will route a document of type Annual Resource Pool Review through One action list (Kuali Rice) which will send an Acknowledge request to the fiscal officer for your unit.
What will the request look like?
When a recipient opens up the Annual Resource Pool Review document, it will explain why they are receiving this (because of the annual review process) and explain the following actions they must complete:
- Review the summary of annual charges for the resource pool
- Reach out to the administrators of the pool (the contact email on file for the resource pool) if there are any questions about or changes that need to be made to the charged amount
- Acknowledge and approve the charges via the action list in One
Exceptions:
If a resource pool has been reviewed and approved by a fiscal officer in the 90 days prior to February 3, 2020, it will not need to go through the review process this year.
