The Records Management program, within the University Archives of the Ohio State University Libraries is hiring a full-time position to assist the University Records Manager with daily records management and records management-related OnBase responsibilities.
Duties: Review and approval of Certificates of Records Destruction; Work with units using offsite records storage; Review and comparison of unique retention schedules to the OSU General Retention schedule; Identify schedules to be updated or retired by University Records Manager; Respond to questions and inquiries directed to records management; Basic office filing; Assist the University Records Manager in creating retention schedules by conducting records analysis and citation research in conjunction with university colleges, divisions, units, and regional campuses and entering data into retention schedule software; In conjunction with the University Records Manager, work with OTDI to ensure records management processes in place in OnBase; Map OnBase Document Types to retention schedules or work with units to develop retention schedules where needed; become an OnBase distributed administrator to program and manage the retention and disposition aspects of the OnBase system; Manage OnBase disposition documentation; Update records management website; Draft records management tip sheets and guidance; Create online trainings; Conduct university records management training. Required Qualifications: Bachelor’s Degree or equivalent combination of education and experience that includes content on records management, records and information management, or information governance. Two to four years of relevant professional experience. Ability to read and apply policies and procedures related to record management. Experience conducting research in a professional environment. Attentive listening and active conversation skills. Ability to follow direction and work independently after on the job training. Excellent organizational skills and high attention to detail.
Desired Qualifications: Completion of graduate-level course work with concentration in records management, records and information management, or information governance is strongly desired, or Certified Records Manager, Certified Records Analyst, Information Governance Professional or Certified Information Governance Officer certification. Experience with OnBase or other document/records management systems. Interest in continued development in the field of records management or information governance. Experience with electronic records management or records management features within Microsoft 365.
